Mō te Tūranga | About the Role
As our Executive Assistant, you’ll be a cornerstone of the Tauihu Office, enabling our Tumu Whakarae and Tumu to achieve both strategic and day-to-day goals. This is no ordinary EA role – you’ll handle high-level coordination, support impactful projects, and engage with a wide network of Government, Philanthropic and Community stakeholders, all while working in an environment that values your contributions and expertise.
Key Responsibilities:
- Support Strategy: Contribute to the preparation and execution of our strategic and business plans.
- Master Coordination: Organise and manage high-level meetings, including agenda creation, minute-taking, presentations, and event planning. You’ll ensure every detail is covered, from facilities to catering, so our leadership team can focus on what matters.
- Financial Management of Tauihu Office expenses: Process and manage invoices, providing essential support for budgeting and resource allocation.
- Stakeholder Engagement: Cultivate and maintain excellent relationships with key stakeholders, building strong connections that advance Visionwest’s mission.
- Travel & Logistics: Coordinate travel, accommodation, and transport arrangements, ensuring seamless experiences for our senior leadership.
- Special Projects: Take charge of various projects and initiatives that contribute to our mission of social impact and community transformation.
Mōu Ake | About You
You are more than an Executive Assistant; you’re a trusted advisor, a problem-solver, and a communications expert. With a wealth of experience in high-level EA roles, ideally within the not-for-profit or government sector, you know how to anticipate needs, manage complex schedules, and build relationships that drive organisational success. As part of our team, you understand and share the Kaupapa of Visionwest's vision, mission, culture, and values.
Skills and Attributes We’re Looking For:
- Exceptional Organisational Skills: You bring a meticulous approach to task and time management, ensuring tasks are handled seamlessly and efficiently.
- Advanced MS Office Expertise: Proficient in Excel, Word, and PowerPoint, you create professional, high-impact documents and presentations with ease.
- Discretion and Integrity: Your handling of sensitive information is impeccable, maintaining confidentiality at all times.
- Cultural Awareness: An understanding of tikanga Māori and/or Pacific cultures is highly valued, as it supports our commitment to meaningful, inclusive engagement.
- Relationship Management: You communicate both verbally and in written form with diplomacy and influence, building trust and rapport across all levels of the organisation.
- Strong alignment: to the Kaupapa of Visionwest’s vision, mission, culture, and values.
Preferred Qualification: A formal qualification in administration, business or a related field.
